Most small transport businesses in the UK are an owner-driver, a fleet of three to twenty trucks or vans, a courier with a dozen drivers, or a small 3PL warehouse on an industrial estate. Jobs arrive by phone and WhatsApp at any hour, the transport manager is often also a driver, and the office is whoever is not out on the road that day. Margins are thin, so a late invoice or a missed load hurts more than it should.
The leaks are the same in every yard. A job request lands on WhatsApp at six in the evening and gets a reply the next morning, after the customer has found another truck. Proof of delivery is photographed on a phone and never reaches the office, so the invoice waits for the paperwork and the paperwork lives in the cab until Friday. Driver hours, MOT dates, tacho calibrations and six-weekly inspections are tracked in a diary that only one person reads, and a missed date can take a truck off the road. A six-truck haulier on an industrial estate and a same-day courier with twelve drivers have the same problem: the people running the jobs are also the only people doing the admin.
